The Dakine Client Guide

Everything you can expect as a Dakine Management owner, from onboarding and leasing to statements, inspections and renewals.

Welcome to Dakine

Mahalo for trusting Dakine Management with your Oahu rental. This guide explains how we work together, what you can expect from us and what we will need from you. Keep it handy as a reference, and reach out any time you have a question.

Your management agreement and written fee schedule are the official terms of our relationship. This guide summarizes how our process typically works.

Onboarding Your Property

Onboarding sets the foundation for a smooth rental. During the first few weeks we will:

  • Review and sign your management agreement and confirm your fee schedule.
  • Collect keys, remotes, fobs, gate codes and mailbox keys.
  • Gather HOA or AOAO rules, insurance details, appliance information and any existing lease documents.
  • Set up your owner portal and your payment preferences.
  • Walk the property, document its condition with photos and recommend any rent-ready updates.

If you live off-island, we can serve as your designated on-island agent as required by Hawaii law (HRS §521-43).

Marketing & Leasing

Once the home is ready, we recommend a rent based on comparable rentals and current demand, photograph the property and publish listings. We respond to inquiries, coordinate showings and screen every applicant using the same written criteria, in line with fair housing laws.

When an applicant is approved, we prepare a Hawaii-compliant lease, collect move-in funds and complete a signed move-in condition inventory, which Hawaii law requires (HRS §521-42).

Communication

Clear communication is part of the Dakine Promise. Expect to hear from us when:

  • A resident is approved and a lease is signed.
  • A repair needs your approval or an emergency occurs.
  • Rent is significantly late or a lease issue comes up.
  • A lease renewal or move-out is approaching.

Let us know your preferred contact method and time zone so we can reach you efficiently.

Maintenance & Repairs

Residents submit maintenance requests online. We troubleshoot, dispatch licensed and insured vendors and track the work through completion. Routine repairs under your approval limit are handled promptly; larger, non-emergency repairs are reviewed with you first. In an emergency, we act quickly to protect people and property, then update you.

Preventive maintenance, such as A/C servicing, gutter and drain cleaning and termite inspections, helps avoid larger repairs later, especially in Hawaii’s climate.

Rent, Statements & Taxes

Rent is collected online. After expenses, your funds are disbursed to you along with a monthly statement showing income, expenses and invoices. Year-end tax documents are available in your owner portal.

Rental income in Hawaii is generally subject to General Excise Tax (GET) in addition to income tax. We recommend working with a tax professional who knows Hawaii rentals.

Inspections

We document the home’s condition at move-in and move-out and conduct periodic inspections during the tenancy, giving residents proper notice as required by Hawaii law. You receive a report with photos and any recommended repairs.

Renewals & Move-Outs

Before a lease ends, we review the market and your goals and recommend whether to renew and at what rent. When a resident moves out, we complete a move-out inspection, compare it to the move-in report and return the deposit with an itemized statement within 14 days, as required by HRS §521-44. Then we prepare the home to lease again.
